What personal data we collect and why we collect it

Profile Information

When you select to ‘Register’ on our website you will be asked to fill in Your Name, Business Email Address and Business Name. You can also add in an image for your profile. Profiles are not visable to any other users, apart from the website administrators. Data is held within the system to enable access to listings and private pages. When you request to delete your account your information will be deleted from the system


A listing is a business profile – this contains contact information including email, address and telephone numbers. It also includes information relating to the business, short description, detailed description, images, Freetobook ID number and website and social media links. These are provided by the user at the time of creation and are fully editable by the user through the website. This profile information is visable to all visitors to the site, with the execption of the business email and Freetobook ID number. The email is not displayed to prevent the possibility of the site being trawled by spammers, who harvest email contacts from websites. The Freetobook ID is required to enable Freetobook to add the property to the Together Platform and as a check that the listing meets the requirements of All About Whitby. Once deleted the listing is removed from the site, but the information is retained for 6 months, incase owners decide to relist. After months this is permenantly deleted.


When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: After approval of your comment, your profile picture is visible to the public in the context of your comment.


If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

Who we share your data with

Freetobook ID number and Property Names are shared with Freetobook to enable them to add the property to the Together Platform
Listing names are shared with the Management Committee to monitor the take up and progress towards ur group objectives
Site visits and inividual page views are collected by the system and are discussed by the Management Committee, but individual data is not shared to an other person, than to the owner of the business. Overall collated site data is shared with members at General Meetings and within the minutes posted in the private members page.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website, we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

How we protect your data

Data is stored on the website hosting server with in a securely password protected account. Access to the data is restricted to administrators of the website and the vice-chair of All About Whitby.

What data breach procedures we have in place

What automated decision making and/or profiling we do with user data

When you register on the website you are automatically approved as a contributor. If a registration is deemed to be in contrivention of our membership parameters, then the profile will be deleted by the administrators.
When a listing is submitted this is held as pending publication for checking against All About Whitby guidelines for listings and then published by the administrators.
Once an accommodation provider has paid their annual fee they become a Member of All About Whitby and their profile account is changed from Contributor to Member. This gives them access to additional material on the website.
